Brochures
The Brochure system lets you upload property PDF brochures, share them with clients via trackable links, and see exactly how they engage with the content.
Where to Find Brochures
- Documents tab on Lead/Client records - Shows the Brochures component for that record
- Brochures tab in the navigation bar - Shows the full brochure library
Uploading a Brochure
Screenshot needed: The Brochure Upload form with name field and PDF upload area
- Navigate to the Brochure upload page (or use the uploader on a Brochure record)
- Enter a Brochure Name (e.g. "Clovelly Beach House - 3BR")
- Click Upload PDF and select a PDF file
- Click Upload Brochure
- The system uploads the PDF and processes it in the background:
- Stores the PDF in cloud storage
- Extracts individual pages
- Generates thumbnails
- Creates page records in Salesforce
- Once processing completes, the brochure status changes to "Ready"
You can navigate away immediately - processing continues in the background.
Replacing a PDF
If you need to update a brochure's PDF (e.g. with a corrected version):
- Open the Brochure record
- The uploader shows "Replace Brochure PDF" mode
- Upload the new PDF
- Click Reprocess Brochure
- The new PDF is processed while all existing analytics data is preserved
Generating a Tracking Link
From a Lead or Client record:
Screenshot needed: The Brochures component showing the brochure dropdown, generated tracking link, and Copy Link button
- Open the Documents tab to see the Brochures component
- Select a brochure from the Select Brochure dropdown (only brochures with "Ready" status appear - brochures still processing won't be listed)
- A unique tracking link is generated and displayed
- Click Copy Link to copy it to your clipboard
Each tracking link encodes the brochure ID and the record ID, so the system knows which client viewed which brochure. The system remembers your last selected brochure, so it auto-restores when you return to the page.
Sending a Brochure
After generating a tracking link:
- Click Send next to the tracking link
- The email composer opens with:
- Pre-filled subject and body from the email template
- The tracking link embedded in the email
- Review and send the email
The system records the email send date on the tracking link.
Tracking Links Table
Screenshot needed: The Tracking Links table showing brochure names, links, dates, and action buttons
All tracking links for a record are displayed in a table:
| Column | Description |
|---|---|
| Brochure | Name of the brochure |
| Tracking Link | Copy button to copy the URL |
| Created | When the link was generated |
| Email Sent | When the email was sent (or "—") |
| Actions | Send email, view analytics |
Viewing Analytics
When a client opens a brochure via a tracking link, the system tracks their engagement in detail.
Viewing Sessions
The Recent Viewing Sessions section shows:
| Column | Description |
|---|---|
| Brochure | Which brochure was viewed |
| Date | When the viewing session started |
| Duration | How long the client spent viewing (e.g. "2m 30s") |
| Completion | Percentage of the brochure viewed (e.g. "85.5%") |
| Pages Viewed | Number of pages accessed |
Page Engagement Analytics
Screenshot needed: The Page Engagement Analytics horizontal bar chart showing per-page dwell time
Click Analytics on any tracking link to see a horizontal bar chart showing:
- Each page of the brochure on the Y-axis
- Time spent on each page on the X-axis
- Time formatted as seconds (e.g. "45.2s") or minutes (e.g. "2m 15s")
This tells you exactly which pages the client found most interesting.
Tips
- Viewing sessions appear automatically as clients engage - no refresh needed
- You can generate multiple tracking links for the same brochure to different leads/clients
- Analytics data is preserved even when replacing the PDF
- The Recent Viewing Sessions section shows up to the 50 most recent sessions
- Preview URLs for brochure pages expire after 1 hour - if previews aren't loading, refresh the page to generate new URLs
