Client Portal
The Client Portal is a personalised web application where clients can browse recommended properties, view documents and market data, and provide feedback to their buyer's agent.
Portal URL: clients.pivotpb.com.au
How Clients Access the Portal
Clients access the portal via a unique personalised link containing a token (e.g. clients.pivotpb.com.au/abc123-...). There is no username/password login.
Enabling the Portal for a Client
- Open the Client record in Salesforce
- Ensure the Client Portal Enabled checkbox is checked
- A Client Portal Token is generated automatically on the record
- Share the portal link with the client (the token is the URL path)
If the portal is disabled or the token is invalid, the client sees a 404 page.
Who Can Access
- Only contacts with the Client role on the Client record are recognised
- The portal welcome message shows the first names of up to two Client contacts (e.g. "Welcome, Sarah & James")
The Dashboard
Screenshot needed: The Client Portal dashboard showing property cards grouped by status with star ratings and feature badges
When a client opens their portal link, they see a personalised dashboard listing all properties their agent has recommended.
Property Grouping
Properties are grouped by status in this order:
| Status | Meaning |
|---|---|
| Due Diligence | Properties under active investigation |
| Inspect | Properties the client wants to inspect |
| New | Newly recommended properties |
| Rejected | Properties the client has declined |
| Other | Any other status (e.g. Shortlisted, Purchased) |
Property Cards
Each property displays:
- Thumbnail image from the REA listing
- Address and suburb
- Price (quoted price takes priority over asking price)
- Features - Beds, baths, and car spaces as icon badges
- Agent Rating - The buyer's agent's star rating and notes
- Client Rating - The client's own star rating and notes
On desktop, properties display in a data table. On mobile, they display as full-width cards.

Tips
- Properties with a quoted price display that price; otherwise the asking price is shown
- The portal link does not expire, but can be deactivated by unchecking Client Portal Enabled
- Each section on the property details page loads independently - if one section has an error, the others still display
- Document previews include type-specific parsing (e.g. Building & Pest reports highlight key findings)
- The portal opens the REA listing in a new tab via a red "View on realestate.com.au" button on property details
