Pipeline Trackers

The CRM includes three spreadsheet-style trackers for managing your pipeline. Each provides an at-a-glance view of leads and clients with inline editing.

Lead Tracker (Appraisal Tracker Page)

The Lead Tracker shows all leads organised by month, with yearly statistics.

Year Summary

At the top of the page:

  • Sat - Total appraisals where the outcome was "Sat"
  • Won - Total leads converted to clients
  • Percentage - Won/Sat ratio

Monthly Tables

Leads are grouped by month (latest first). Each month shows:

  • Month header with statistics: "Sat: X | Won: Y (Z%)"

Status Values and Colours

Statuses are numbered in reverse order (7 = best, 1 = worst), which determines their sort priority:

Editing Data

Changing Status:

  1. Click the Status dropdown for a lead
  2. Select the new status
  3. The table refreshes with updated colour coding

Editing Budget:

  1. Click the Budget field
  2. The formatting ($, commas) is stripped so you can type the raw number
  3. Enter the new amount
  4. Click away or tab to save - the value is rounded to the nearest dollar and re-formatted with $ and commas

Logging a Note:

  1. Click the note icon in the Action column
  2. Enter your note in the modal
  3. Click Save
  4. The Notes column updates

Sorting

Click any column header to sort. Click again to reverse the direction. A triangle indicator shows the current sort.

How Leads Are Grouped by Month

Each lead's month is determined by the most relevant date in this priority order:

  1. Sat Date (appraisal meeting date) - if the meeting outcome was "Sat"
  2. Converted Date - if the lead was converted
  3. Created Date - fallback if neither of the above exists

Converted Leads

When a lead converts to a Client:

  • The name links to the Client record instead
  • Status always shows as "Converted" (read-only, cannot be changed)
  • Notes are logged to the Client record

Mobile View

On mobile, each lead displays as a card showing:

  • Name and Status badge
  • Owner and Sitter initials with Outcome badge and Source
  • Notes, Budget, and Note button

Client Tracker

The Client Tracker shows all Client records with comprehensive metrics and timeline data.

  • Year Selector - Filter by year (2022 to current year)

User Colour Coding

Each team member is assigned a consistent background colour for their initials across the Generated and Managed columns. This makes it easy to visually identify who generated and who manages each client.

Editing

Updating Status:

  1. Click the status cell
  2. A modal opens with a dropdown of all stages
  3. Select the new stage
  4. Click Save

Editing Budget:

  1. Click the budget cell
  2. Enter the new amount
  3. Click save or press Enter

Mobile View

Cards showing:

  • Client name and status
  • Generated/Managed initials
  • Property purchased (if applicable)
  • Key dates as compact chips
  • Financial summary (Budget, Price, Fee)

Tap a card to open the Client record.

Appraisal Tracker

The Appraisal Tracker is a spreadsheet-style view powered by the Univer spreadsheet library. It provides a familiar Excel-like interface.

Editing

  1. Click any editable cell
  2. Type or select the new value
  3. Changes save automatically

This tracker provides the same data as the Lead Tracker but in a full spreadsheet format, which some users may prefer for bulk editing.

Tips

  • All trackers update in real-time - changes reflect immediately
  • Use the year selector to review historical data
  • Colour coding helps identify team members and pipeline health at a glance
  • Sort by different columns to spot trends (e.g. sort by Client Length to find long-running clients)
