Property Management

Properties

Property records represent individual properties in the system. They can be linked to REA (realestate.com.au) listings and associated with clients as interested or purchased properties.

Property Record Page

A property record shows:

  • Property details - Address, display name, and other fields
  • Property Image Manager - Upload and manage property photos
  • Related records - Interested clients, purchased by clients

Property Image Manager

The Property Image Manager appears on Property record pages and lets you manage photos.

Viewing Images

Images display in a scrollable horizontal grid showing:

  • Thumbnail of each image
  • Total image count
  • Click any image to open a full-size lightbox viewer
  • Navigate between images using left/right arrows or keyboard arrow keys
  • Shows "Image X of Y" counter
  • Press Escape or click the backdrop to close

Uploading Images

  1. Click the Upload area on the Property Image Manager
  2. Select one or more image files (.jpg, .jpeg, .png)
  3. Images upload and appear in the grid

Removing Images

  1. Click the Remove button (trash icon) on any image thumbnail
  2. Confirm deletion in the modal: "Are you sure you want to delete this image? This action cannot be undone and will remove the image from the client portal."
  3. Click Delete to confirm

REA Integration

Images can also be populated via the PivotPB Chrome Extension, which scrapes property images from realestate.com.au listings. If no REA listing is linked, you'll see a prompt to use the Chrome extension or upload images manually.

Suburb Picker

The Suburb Picker appears on Lead and Contact records for setting preferred suburbs.

Adding Suburbs

  1. Find the Preferred Suburbs field on the record
  2. Type at least 2 characters of a suburb name in the search box
  3. Wait for the Google Places API results to appear (up to 5 results)
  4. Select a suburb from the dropdown
  5. The suburb appears as a pill above the search box
  6. Repeat for additional suburbs
  • Mouse: Hover and click to select
  • Keyboard: Arrow keys to navigate, Enter to select, Escape to close

Removing Suburbs

Click the X on any suburb pill to remove it.

What's Stored

For each suburb, the system saves:

  • Suburb name
  • State
  • Postcode
  • Google Place ID

Interested Properties

Track which properties a client is interested in by creating Interested Property records. These are junction records linking a Client to a Property.

Purchased Properties

When a client purchases a property, create a Purchased Property record linking the Client to the Property. This appears in:

  • The Property Purchased column on the Client Tracker
  • The Property record's related list
  • The Client record's related records
